GLOUCESTER EMERGENCY FOOD CUPBOARD:
Minutes of Board Meeting, October 19, 2005

In attendance: Jim Bogues, Lesa Brown, Don Collar, Ann Frederking, Pauline McNally, Pat O'Driscoll, Vivien Runnels, Glenda Dare, Marion Washington.

1. Adoption of minutes.
- Motion: to accept minutes with the following corrections.

Financial situation....change to read.....
Vivien suggested the board review the financial situation to see if the GEFC can spend more money on food. The board agreed to bring this issue forward in February.

Business Arising
- Xmas Village
The Xmas Village is now transferred to the Lions Club. John Proulx(Lions Club) advised there may be additional storage costs which will come out of the village acc't.
- Meat Products.
Ann will follow up with Pierre Proulx on his progress in investigating companies that sell poultry. This issue will be discussed at the next meeting.
- Secretary
Glenda Dare has volunteered to maintain the official records.(One copy on site and one copy at her residence). Pauline has volunteered to take minutes in Liza's absence. The office will notify board members of the meeting on the Friday before the third Wednesday of the month.
- List
Ann will consult staff and make up a list of most needed items for holiday season.
Treasurer's Report
Jim indicated the GEFC is in the same financial situation this period as it was for the last two years. He indicated we will review once again in February after the results of the drop campaign are in. He raised concern about donor fatigue.
Executive Director's Report
- Ann indicated the drop campaign is well underway and is being done by volunteers. There are only 4 routes left to be assigned. 13, 000 letters will be distributed in the Orleans area.
- Yard sale raised $1730.00 for the food cupboard. The sale was held on the premises. It was suggested we invest in permanent and professional signs if this is to be a yearly event.
- In September, 2011 clients attended the food cupboard, and Ann doesn't expect it to diminish especially with the cold season coming up.
- The city grant application was sent in and reviewed. The city admistration indicated the grant request should reflect pressures on the GEFC financial situation and they changed the application accordingly.
Personnel Committee
Vivien stated that 5 candidates were interviewed and she is presently looking at references. A final decision will be made during the week of the 24th of October.
New Business
- Dave Prebble tended his resignation from the Board of Directors due to other pressures. Don recognized his contribution to the Board and will send a letter of acceptance. A motion to receive was put forth by Glenda and accepted by all.
- Social Planning Council meeting will be held on October 26, 2005. Vivien Runnels can't attend and it is an all day meeting. Vivien indicated the Council will be looking for feedback from the volunteer sector. Vivien will send information to Ann. Jim volunteered to attend morning session and Ann will consult other volunteers for a candidate to attend afternoon session or all day.
- Pauline indicated the CommonThread Quilt Guild will be holding their third annual fundraiser for the food cupboard.
- Ann stated the Gloucester High School will hold their Annual Food Drive by forming a link of students from the school to the food cupboard. The Press should be notified.

The next meeting will be held on November 16, 2005 at 7:00pm.
